If available, complimentary packages are discussed with your travel specialist at the time of trip proposal and is outlined in the trip agreement. For example, if your agreement states “One (1) complimentary package for every 15 paid participants – based on the double package rate” that means that for every 15 people that pay, you will receive one package (not room) at the double package price. (If you have 50 people in your party, three people will travel at no cost to the group). The group leader can identify anyone receiving a no cost package, following confirmation of registrations.

Please note, everyone must be on your rooming list including complimentary travelers. We cannot allow travelers on a trip nor staying in the hotel with travelers, who are not registered. Additionally, complimentary packages may or may not include transportation such as airline tickets or busing.

A Tour Operator provides the service of facilitating the components of a planned trip or itinerary. They work to facilitate reservations, payments, confirmations for such as hotel, meals, attractions, transportation, points of interest and sightseeing as related to the trip.

A festival company is responsible for producing a particular event. Specifically with student musicians, the Festival Company would secure the festival site, judges and generally an awards venue.  A tour operator would work with a group and the festival company to facilitate the trip.

Typically rooming lists are requested 45 days prior to departure or right around the time of the final payment deadline. The earlier you can supply a complete rooming list, the more opportunity is given to the hotel to accommodate any lodging request(s). For many reasons, hotels and group leaders often require that student groups be blocked in a very specific manner requiring floor and room configurations based upon the hotel. Any special requests or accommodations (such as ADA accommodations) should be noted as early as possible.

Absolutely, group leaders can customize their package and experience!  Group Travel Network specializes in creating unique travel experiences that are tailored to the specific needs and budgets of your group.  You have the option to customize any advertised package by adding/deleting hotel room nights, attractions, meal functions, getting creative with itinerary inclusions and much more! Alternatively, we can start from scratch and build the trip you envision for your unique group. GTN can do that! If you can dream it, we can build it!

Once the group trip has been created, individual packages however, cannot be customized to the individual traveler. We work hard to keep the “group” in Group Travel!

Transportation may or may not be included in a package, depending on the needs of the client. Group Travel Network can provide you with competitive motorcoach, commercial and/or charter airline rates as well as train quotes. You may also choose to coordinate your own roundtrip transportation.

When booking your own motorcoach keep in mind that these vehicles are responsible for providing all transportation services during your adventure. Drivers need to be taken care of, but please note that drivers are not entitled to receive complimentary rooms, meals or attraction tickets. All driver hotel reservations and payment for rooms must be made through our office.

Make sure that your motorcoach company has a complete and updated itinerary, as there are many restrictions on driver hours. Finally, if booking transportation on your own, the group leader may assume responsibility if issues arise with transportation that impede the flow of the trip or cause delays. If this sounds like a lot of added work, Group Travel Network is happy to help you with transportation needs!

Airline tickets are often estimated at the time of trip proposal, or may not be included in the original land quote. Airline prices fluctuate quickly and may require additional payment to cover cost gaps.

If you use our online registration system, deposits are easy and collected at registration! Individual payments are managed in this system and payment reminders are sent to travelers.

If you use a group pay method, we recommend that you send in your initial deposit as soon as your trip has been approved. A group deposit deadline will be outlined in the group agreement. This deposit will allow us to secure your hotel and turn your group from a tentative status to definite! Therefore, the earlier the better! We understand that the logistics of collecting initial deposits can be a daunting task. If an immediate deposit is not feasible, we will gladly work with you in creating a payment schedule that you are comfortable with and outline it in the agreement section of your trip packet.
